Organiser FAQ: running a golf day with RoundHQ
Straight answers to the questions organisers ask before their first event — what the software includes, how long it takes to set up, how scoring works on the day, and what it costs. If you are still at the planning stage, start with the guides instead.
What's included in the software
- What's included in the software?
- Online registration with waitlists, player and course management, sponsor logos, mobile scoring, live leaderboards, reports with CSV export and a printable event pack. Groups and tee times, PDF report export and paid checkout are in beta and labelled as such in the app.
- What is not included yet?
- Leagues and orders of merit, printed tee sheets and scorecards, offline scoring, handicap-system integration, a public API, white-labelling and discount codes are not built yet. The features page lists the current state of everything.
- Can I export my data?
- Yes. Registrations, players and results can be exported to CSV at any time, and reports can be downloaded from the reports section.
Setting up an event
- How long does it take to set up a tournament?
- For a straightforward single event, most organisers get from a new account to a shareable registration link in well under an hour: create the organisation, add the course, create the event and open entries. Adding a course hole by hole is the slowest part, and you only do it once — courses can be duplicated for the next event.
- Do I need the course data before I start?
- You need par and stroke index per hole to score Stableford correctly. Both are on the club's scorecard, and you can save the course and finish the detail later.
- Can more than one person help run the event?
- Yes. You can invite colleagues into your organisation so several people can manage entries and scoring for the same event.
Players, entries and scoring
- How do players enter?
- You share one public event link. Players enter their own details, which keeps your list accurate, and when the field is full further entries go onto a waitlist.
- How does scoring work on the day?
- Each player or group gets a scoring link that opens in the phone browser — no app to install. Scores appear on the live leaderboard as they are entered, so results are ready when players reach the clubhouse.
- What if there is no signal on the course?
- Scoring needs a connection, so offline entry is not supported yet. On courses with patchy coverage, organisers usually keep paper cards as a backup and enter those holes when signal returns.
Pricing and payments
- What does RoundHQ cost?
- There is a free plan for a single event, a one-off Event Pass, and a Club subscription for unlimited tournaments. Current prices in pounds are on the pricing page.
- Can I collect entry fees through RoundHQ?
- Paid checkout is in beta. Many organisers still collect entry fees their usual way and use RoundHQ for entries, scoring and results.
- Which languages and currencies are supported?
- The organiser app and the public pages are available in seven languages — English, German, French, Spanish, Italian, Portuguese and Swedish — with local date, time and currency formatting.
